We are looking for an experienced Administrative Business Partner to join our team. You will be based in Costa Rica and go into our Escazú office 3 days per week. Supporting three Area Vice Presidents, you will be responsible for:
- Strategic Calendar & Meeting Management: Oversee executive calendars, prioritize tasks, resolve scheduling conflicts, and ensure smooth coordination of meetings and engagements.
- Meeting & Event Coordination: Plan internal and external meetings, All Hands, and events, managing logistics like conference rooms, catering, and preparation of materials.
- Expense & Travel Management: Submit monthly expense reports, process reimbursements, and coordinate domestic and international travel with fully detailed itineraries.
- Confidential & High-Impact Execution: Handle sensitive matters discreetly while upholding confidentiality in all administrative tasks.
- Organizational Resources & Team Support: Maintain and update org charts, directories, and team initiatives like competitions and recognition programs for alignment and effective implementation.
What We're Looking for (Minimum Qualifications)
- 2+ years of experience providing executive-level administrative support.
- Proven ability to schedule and coordinate complex internal and external meetings, events, and logistical arrangements.
- Proficiency in tools such as Zoom, Outlook, Word, PowerPoint, Google Suite, and expense reporting platforms like Coupa.
- Strong organizational skills with the ability to manage multiple priorities, proactively resolve issues, and de-escalate challenges.
- Exceptional interpersonal communication skills, with experience collaborating across all levels of an organization and supporting interaction with external stakeholders, including Fortune 100 executives.
What Will Make You Stand Out (Preferred Qualifications)
- Demonstrated ability to build and maintain strong relationships with internal and external counterparts to ensure open communication and operational efficiency.
- High adaptability to changing circumstances, last-minute adjustments, and shifting organizational priorities.
- Willingness to travel to the U.S. 2-3 times per year to provide onsite logistics and support for key events.
