Human Resources & Administration Assistant Manager

On-site role Mon-Fri (w/1 hour lunch)

Job Responsibilities:

  • Administrative accountabilities including documentation and control of assets to ensure FTZ compliance.
  • Oversee maintenance of the office suite and ensure that safety and security standards are met, i.e., coordinate repairs, fire drills, cleanliness, etc. Manage office supplies, orders, office vendors, and submit office expenditures as needed. Manage front office activity to include professionally receiving visitor and courier packages while in accordance with security procedures. Manage access badge ID records and issuance.
  • Maintains in-depth knowledge of local legal requirements related to day-to-day management of employees, reducing legal risks and ensuring regulatory compliance. Provides day-to-day performance management guidance to line management (e.g., coaching, counseling, career development, disciplinary actions). Works closely with management and employees to improve work relationships, build morale, and increase productivity and retention. Provides HR policy guidance and interpretation.
  • Provide assistance in handling employee complaints, concerns and disputes.
  • Assist with Costa Rica new hire onboarding and offboarding and additional HR documentation accountabilities as assigned.
  • Assist with various administrative items, i.e., negotiate hotel rates for travelers, execution of meetings, events, etc. in San Jose, Costa Rica area while staying within assigned budgets.

  • Strong communication skills (written and verbal) in both Spanish and English
  • Strong problem solving, critical thinking, and analytical skills
  • Strong organizational skills
  • Leadership and coaching skills
  • Project management and negotiation skills

Qualifications:

  • Bilingual fluency in Spanish and English (both written and verbal)
  • Minimum 4 years overall Office Administration or Office Management experience
  • Minimum 2 years overall Human Resources experience
  • Management experience including awareness and exposure to employment law landscape, HR practices, and global policies
