Job Description
Ensure the proper and timely international movement of freight and information, while providing an exceptional customer service within the ocean import department.
Tasks and Duties
- Ensure smooth and timely freight process flow.
- Ensure all customers standard operating procedures are followed and updated in the DLSOP.
- Interact with our customers, arranging their international shipments, meeting customer service standards.
- Ensure accurate and timely data entry into our edoc platform (commercial documents, quote, approvals, exceptions)
- Track and trace ocean import files (transshipments ports)
- Use workflows on daily basis to manage shipments (Excel report, In transit follow up automatic report, Oh reports, etc)
- Monitor shipment reports to ensure total customer satisfaction
- Review HBL/MBL are accurate so that reflects the correct information related to the corresponding shipment including rated BL.
- Ensure documents are sent and file manifested timely by origin office (Pecan or docs by shipper confirmation)
- Ensure accurate and timely interbranch billing.
- Contribute to maintain strong relationships with vendors (Shipping lines, trucking companies, and others).
- Always meet compliance to regulations. This includes internal policies and procedures such as Operational Process Standards (OPS), Audit requirements, external government regulations or customer’s policies / requirements.
- Understand department process flow, constantly looking for areas of improved efficiency.
- Meet KPI standards, per company procedure.
- Overseas communications, timely responses to emails and requests (internal and external)
- Escalation of problems to Leadership team when necessary
- Promote compliance in diligently following all company policies and regulations and performing the task at hand with outstanding integrity and pride.

Local Coordination
- Ensure timely release of MBL for import shipments
- Ensure documents are timely sent and arrival notice communicated to customer
- Ensure customs procedures are completed on time (TICA, Redestino, Anticipado, DUA, etc)
- Ensure accurate and timely data entry into our operating system (cfit and edoc).
- Track and trace import files to have events always updated in an accurate and timely manner
- Ensure timely clearance and delivery of freight to customer for Import shipments (Colocación, Retiro de Vacio)
- Manage intercompany invoice payments (i.e. via AJAX report)
- Invoicing
Qualifications
- Understanding transportation process of all models is a plus
- Hazardous Materials certification (preferred)
- Good computer skills (e.g., MS Excel, MS Word)
- Fluent in English
- 6 months to 1-year related experience and/or training; or equivalent combination of education and experience
- Meet company standards of 52 hours training per year, including as needed management/leadership training
- Excellent organizational skills, time management skills in addition to a professional manner
- Positive and willing to help attitude
- Effective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely obtain positive results
